How Long Do You Keep Auction Lot Records?  

Hello,

I was just wondering how long do some of you keep the auction lot records before deleting them from the grid in AW2K? And also the Invoice Grid Records?

I only delete unsold auction lots that I don't intend to re-list - never sold lots, which are part of the sales records.

I NEVER delete an invoice record. I do archive these once a year.

I also never delete Sold Auction lots. I only delete offline Auction lots that I do not intend to relist again.

However I do not Archive Invoice records.Those I leave in my database so I have access to buyers and what they have purchased.

When we get in a store to liquidate, we often search by description using just a couple of keywords to find buyers that have purchased similar or identical product in the past. And email them directly to see if they are interested. Especially our repeat buyers.

Archiving records is much better than deleting records, At least in my opinion anyway.

Prior to running an Archive, I always run a backup and then make a copy of the backup AND another DVD of the entire AW2000 folder,

And I put it away in the safe. If I should need to restore records, I can do so.

I also learned not to archive Images OR email. I just do the inactive Inventory Items and Sold and shipped Auction lots. The rest goes history...

Images and emails make the archive folder like major huge.
