image database record  

I'm not sure if I'm in the right forum for this question....but I'm trying to list an item and when I try to add a picture I get the error message that "The image database record could not be created."
Does anyone know why that is??

Yep I know what that is... Your image folder is full... Must be over 2 GB which is the image folder limit.

So there are several things you can do... You can go back and resize your images in the Inventory items and then rebuild the database.

you can elect to do an archive getting rid of Inventory items you no longer need.

When that happened to me, we went through and resized all our images using the "Shrink by factor 2" , did a full backup and then rebuilt the database. I haven't had to do it again but then we always resize the images by factor 2.

Thanks Judy! I thought I have been resizing all my pictures....if I put a background image behind the picture, does that take up more room or should it be OK as long as I resize??
I just did a backup & rebuild...had one table that didn't rebuild...you'll never guess which one!!
Image tables again!
Guess I better start checking my pictures and see what needs resizing!

Also, how do I do an archive? Can I just delete inventory items I don't use.....or is there something else to it??

Mickey,

You could delete the Inventory records you no longer need or use but archiving or purging are actually the best method for cleaning records that are no longer needed. Deleting can cause problems.

There is an Archive/purge utility with AW2000. Just go to "Start | Programs | Auction Wizard 2000 | Archive and purge.

The utility will open up and allow you to select either purging or archiving. Purging means the records are permanently deleted and cannot be restored if ever needed again..

Archive means that records within a specified timeframe are removed and tucked away into a separate folder (without images. images are removed).

Regardless of which option you use, make a full backup of the database on a DVD or CD. And label the DVD with the date etc so if you should need those records you have them.

If you use the Archive utility, you can click on the "Advanced" button and choose whether to archive away invoices (which I would not, I'll explain why here in a minute), Archive away email Yes yes yes
Archive Inactive inventory items Notice the keyword "Inactive" That means any Inventory records you want to archive, you must UNCHECK the "Active" button.

And you can elect to archive away the ledger, ( I wouldn't)
And archive Auction lots Yes, yes yes

Leaving Invoices alone is really a good idea. They don't take up any room really in the database and you can go back through them quickly using a description search to find a previous buyer that always wanted to know about those cute blue swimsuits or shorts or whatever. I find it really useful to retain all the Invoices. I archive away all Inactive Inventory items, Sold and shipped Auction lots and emails.

notice there is a date range to choose. So be sure you enter in the same date range on all the fields.

I hope that makes sense.

Just curious in case this happens to me. Is there a way to bulk resize images?
And is there a way to set the default to a specific size to start with?

Marty,

No there is no bulk image editor.

In order to keep my images from exceeding the 2 GB limit, we use the "Shrink by factor 2" so all images after editing are about the same size as the default settings in Program options for auto resize.

For the most part, as long as you keep your images at a reasonable size and archive at least once a year, you should be okay.

This happened to me one time which is why we started using "Shrink by factor 2" That reduces the image space by about 75% for each image. Don't use an odd number to shrink with or your images could look fuzzy.

Judy,
That's what I thought, but had my fingers crossed for that hidden radio button to click on.

At this moment i don't think I am even close to the limit so if I start from this moment on I will be fine. I actually think that i was doing that shrink by 2 for awhile and then got lazy and just used pics as taken with the exception of a few crops.

Yeah there are days we get a tad lazy too. But with staff all over the building entering in Inventory items, we just about have to shrink images by some factor (always an even number though) And as soon as the year end inventory is done at the store in January, I always archive records away too. That helps keep the database clean too because I remove all Inactive Stock Inventory items and "Sold and Shipped" auction lots. There have been years I had to archive again in June when we pull mid-year inventory.

Thanks for your help Judy! I'm saving your post! I did find a few categories where I hadn't re-sized the picture! I'm pretty sure I'll have to do some archiving though! Hopefully not until after the holidays!
