Tutorial

Is there a tutorial somewhere that can explain how to use the ledgers? I would like to start using the ledger but would like to be using it in the most efficient way.

I used it a long time ago but remember having to cut and paste buyers names from Paypal and also had to manually input shipping and ebay fees. Is this automated now? can someone give me some pointers?

thanks.

Mary,

You do not have to cut/paste the Buyer information into an Invoice. Just highlight the information, then on the toolbar, click the little blue envelope tool. When you put your mouse on it the tooltip says "Store buyer info"

The information drops into the Invoice for you.

As far as using the Ledger. What is it you are wanting to use?

Do you record Invoice payments? If so, that information is being stored into the Ledger automatically.

Are you wanting to start recording fees and other expenses in the Ledger as well???

Hi Judy

eBay Fees
I would like to use the ledgero to create a P&L. I see that the ebay fees are calculated but don't see that the fees are reflected in the ledger.

Paypal Fees
Also, I don’t see that Paypal fees are recorded either. And, I assume that I will have to manually input the shipping fees.

Shipping Fees
I'm just wondering if that since I purchase shipping from Paypal, if those fees can somehow be downloaded into the ledger.

Thanks for your help.

Mary

Mary,

I am sorry I was not clear...

In order for the "Store buyer information" tool to become active. you must be in the Email reader with a Paypal payment open.

The tool is 7 over from the right hand side. Once the name/address is highlighted, then it turns blue and is active.

Does that make more sense?

Judy,
I'm lost.

I have the invoice/grid view open. I see the invoice.

I don't use the email notification so an email doesn't show up in the email tab.

I can't find what you are referring to!

Re: Tutorial new [re: eastwind]

Mary,

Do you mean that paypal does not send the payments to you via email??

Or that you do not have email configured in AW2000?

In order to use the Store buyer information, you have to go to the Email tab. Located on the right side of AW2000 (by default). it is the last tab available... When you click the EMail tab it takes you to the Email section of AW2000.

When you open any email it is opened in the Email reader, The EMail reader has the tool to store buyer information.

Does that help?

Re: Tutorial new [re: bluepennylady]

Judy,
If I go to the email tab (I have an old email there) I don't see a blue envelope. If I click on the email iteslf, the configured email opens but there is not a blue envelope either.

I'm sorry to be such a pain.

I do need to have a P&L. I'm trying to figure out how to get all of my expenses accounted for.

If I go to the INVOICE tab, for instance, I see the ebay fees but those fees are not reflected in the ledger (as far as I can tell).

Re: Tutorial new [re: eastwind]

Mary,

You are not being a pain. I am not providing you with enough information so you can find it.

I am presuming you are opening a Paypal payment in the Email reader window.

The blue envelope will not be active meaning it is grayed out until the buyer's name and address is highlighted.

You can use the buyer's user id or their email address to "Find" the invoice. If you highlight the user id OR the email address and right click you are given the option to locate the buyer by email addy or by user id.

Then the correct Invoice will appear in the lower section of the Email reader with the Paypal payment still showing in the upper section.

There is a yellow hand on the center divider about 3/4 way over. IF you click it, you are asked if you want to "Associate" the email with the Invoice.. Associating means the email is tucked into the Email tab on the Invoice so you can view it later from the Invoice. It is a like a file folder that holds all the correspondences for each buyer.

IF you scroll down on the Paypal payment until you find the buyer name and address, then highlight it.

The blue store buyer information becomes active. It is on the top toolbar of the Email reader.

Re: Tutorial new [re: bluepennylady]

Judy,
thank you.

I am open on the invoice page and my buyer is selected at the bottom of the page.

The paypal payment window is open at the top right of the invocie page.

if I select the yellow hands, I get the option of "show all invoices" or "show selected invoices" I have show all inoices with each sub item selected.

no blue envelope yet.

Mary
