Totals

Have been using AW2000 for quite some time now and basically have had no problems with it. Anyways, lately the ledger seems to be loosing or not adding the correct amount to give complete total.

Today, added 10 payments w/fees and was short by $15 compared to what paypal's total was. Is there anything that I need to change or do to have the correct total show?

Thanks in advance.

Hi

How long has it been since you rebuilt the database?

Do a backup of the database
Scan the hard drive for errors
Defrag
Run the Rebuild

See if that has any effect.

Re: Totals new [re: bluepennylady]

Nope, that didn't work. Had the same thing happen today. So far I'm short $26.17. Each time it is a different amount.

Is there a limit on the amount of sales in the ledger that one can have that might be causing this? At present, I have 340 entries.

Re: Totals new [re: cds2go]

HI

No limit on entries.

Okay, let's backtrack here a bit.

When you say there is a discrepancy... You mean that if you add up all the incoming Paypal and ProPay payments you have recorded during the day the total does not match what is showing for the same timeframe in the ledger?

Re: Totals new [re: cds2go]

HI

Just a thought here as I opened up my ledger reports to check.

When running the ledger reports be sure that you are not adding up a Paypal payment that you might have recorded the day before.

For example, payments that arrived prior to 8 pm yesterday were recorded yesterday. Anything after that were recorded on today's work, 2-12-2010 even though the payment arrived on 2-11-2010.

So be sure the dates of the payments match up.... Is the discrepancy for today possibly the total of a couple of payments. Or just a single payment?

Does that make sense?

Re: Totals new [re: bluepennylady]

First let me thank you for all the info. Second, on the main ledger screen we have Date; check #; Invoice #; description; credits; debits; and balance.

The total in the balance has the discrepancy. This is where I keep loosing various amounts of money. I've checked and rechecked to make sure everything was entered correctly. However, I've not tried to run a report yet, but will do so shortly.

Re: Totals new [re: bluepennylady]

I think I found the problem! I had a known software program that somehow installed 2 files that have been known to cause problems. Rx2Engine & RX2Agent. After doing a search on google I found that these two items were indeed some sort of trojan.

I managed to get rid of them and it seems that AW2K is working as it should.

Once again thank you for your help.

Re: Totals new [re: bluepennylady]

Just when I thought I had the problem licked... it seems to have come back again. What I've done again is to check for viruses (none); malware (none), cleaned hard drive, saved data, rebuilt files (w/no errors). Checked and triple checked that all entries were entered properly.

Seems to be happening more each day. Don't know what else to try.

Re: Totals new [re: cds2go]

HI

Let me be sure I understand the issue.

The total in the Ledger does not match what? If you add up the Paypal payments recorded in the ledger, That total does not match the Ledger total?

Re: Totals new [re: bluepennylady]

The totals in AW2K do not match the totals in PayPal. I know that they change quite frequent. But I have a habit of either writing down the total after so many payments or printing the page up (from PayPal).for the last customer shown.

These are the totals that don't match.

Thanks for help.

Re: Totals new [re: cds2go]

HI

Are you certain you are recording all the associated fees with each payment when you enter in a payment in AW2000?

It just sounds to me as if something is being omitted when recording the payments.

Re: Totals new [re: bluepennylady]

I think so, I do the payment less their fees, check the shipping (whether or not there is a shipping charge). Some of the auctions are w/o shipping charges. I can't think of any other charges their might be excepting those of eBay at the end of the month.

Could it be when doing a refund, I just go into the payment and change the original payment to $0.00 and the fees to $0.00 instead of re-entering them.

Re: Totals new [re: cds2go]

HI

Yes that could definitely impact the ledger results. Instead of doingit that way, you might consider changing the Invoice status to Closed _refunded. Then record an expense in the Ledger as a refund for the exact amount refunded. That should make the balances come out right.

Does that help?

Re: Totals new [re: bluepennylady]

Thank you, will give your suggestion a try. I do know, that in the invoices, I mark that as closed - refunded and in the ledger, I just change the payment to $0.00 both for payment & fee and then mark it paypal - refunded. That usually brings the total to the last one ( I guess you could say last good total).

Looks like I have a lot of work ahead of me to straighten this out.

Once again thank you for the info and help. Have a good weekend and will let you know the outcome after I straighten it out.
